How Rippex Card Vault collects, uses, stores and protects your personal information.

Rippex Card Vault Ltd (“RCV”, “we”, “our” or “us”) is committed to protecting your personal information and respecting your privacy. This Privacy Notice explains what personal information we collect, why we collect it, how we use it, how long we keep it and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1.Who we are
Rippex Card Vault Ltd provides sports card consignment services, the GradePrep pre-grading cleaning and assessment service, the SecureDeal middleman service for privately agreed trades, and related collecting services. RCV acts as the Data Controller for the personal information collected through our website and these services.

2.Information we collect
Contact information
Full name; email address; telephone number; postal address.
Consignment information
Card details; estimated values; selling preferences; consignment history; shipment tracking information; notes relating to your submission.
GradePrep information
Where you book GradePrep: the cards booked in; card-by-card condition records, defect diagrams and photographs made during cleaning and assessment; grading recommendations; and return shipping details.
SecureDeal information
Where you use SecureDeal: the deal you describe, the items on each side, declared values, verification records and photographs, and the dispatch address each party provides for the completed deal.
Payment information
Where applicable: preferred payment method; bank account details; PayPal email address; settlement history. Online payments for GradePrep and SecureDeal are processed by Stripe; RCV does not store full debit or credit card details.
Card images
We may create and retain photographs of consigned cards, packaging, condition on receipt, identification photographs and damage photographs (where applicable). These images form part of your consignment record.
Technical information
When you use our website we may collect your IP address, browser type, device information, and date and time of submission. This is used to maintain security and investigate misuse.
3.How we use your information
We use your information to process consignments; contact you regarding your submission; arrange shipping and returns; process payments; maintain business records; prevent fraud; resolve disputes; meet legal and accounting obligations; improve our services; and protect our business and customers. We will never sell your personal information.
4.Legal basis for processing
Under UK GDPR we rely upon one or more of the following lawful bases:
- Contract - to provide the consignment services you request.
- Legal obligation - to comply with tax, accounting and legal requirements.
- Legitimate interests - to operate, improve and protect our business and services.
- Consent - where required for optional communications or future marketing.
5.Card images and service records
As part of our consignment, GradePrep and SecureDeal services we may create and retain photographs, inventory records, defect diagrams and condition records relating to your submitted items. These records help us identify your consigned items; record condition on receipt; prepare items for sale; resolve disputes; investigate claims; and maintain accurate business records. Where an item is sold, basic transaction records may be retained for accounting, legal and dispute-resolution purposes.
6.Who we share information with
We only share personal information where necessary. This may include shipping providers; payment providers (including Stripe for online payments); email service providers; cloud hosting providers; technology providers supporting our website; professional advisers; and law enforcement or regulatory authorities where legally required. In a SecureDeal, the nature of the service means limited information is shared between the two parties to the deal: each party sees the other’s name, the items and declared values on each side, and verification outcomes; dispatch addresses are used by RCV to send cards on completion and are not shown to the other party. We do not sell customer data to third parties.
7.Data storage and security
Your information is stored securely using reputable cloud service providers. Access is limited to authorised personnel who require the information to perform their duties. We use reasonable technical and organisational measures to protect personal information against unauthorised access, disclosure, alteration or loss.
8.Data retention
We retain information only for as long as reasonably necessary. Typical retention periods are:

Some information may be retained longer where required by law or for dispute resolution.
9.Your rights
Under UK GDPR you may have the right to request access to your personal information; request correction of inaccurate information; request deletion where applicable; restrict processing; object to processing; request data portability; and withdraw consent where processing is based on consent. These rights are subject to certain legal exceptions. Requests should be sent to support@rippex.co.uk.
10.Cookies and website measurement
Our website may use essential cookies required for the operation and security of the website. If we introduce analytics or marketing cookies in the future, we will provide appropriate notice and obtain consent where required.
We measure how our website is used, so that we can understand how many people visit and which pages they find useful. This measurement is provided by Vercel, who host our website. It does not set cookies, does not follow you to other websites, and does not build a profile of you as an individual. We record the type of page visited, the country the visit came from, the type of device and browser used, and the website that referred you. Web addresses that contain a private link, such as an offer or consignment link sent to you by email, are recorded only as the type of page, never as the link itself.
Because this measurement does not use cookies and does not identify you, we do not ask for consent for it. Our lawful basis is our legitimate interest in understanding how our website performs. You may object to this processing using the contact details below.

Our website may contain links to external websites. RCV is not responsible for the privacy practices of third-party websites. Users should review the privacy policies of any external websites they visit.
